Alberta Innovates is seeking an Administrator to provide support to the Ethics team. This is a casual 12 month term position at our Edmonton location.

The successful incumbent will be, but not limited to:

  • Develop guidelines, manuals, policies, standard operating procedures, for the Research Ethics Board (REB) and its role within Research Administration and the organization with the Director of Ethics.
  • Coordinates monthly review meetings by, ensuring compliance with regulatory requirements such as FDA quorum; organizing and facilitating meeting arrangements; preparing and distributing pre-meeting packages.
  • Provide support for one-on-one conferences between reviewers and study teams, taking notes to prepare minutes for record keeping and facilitate communication between the REB and Study team.
  • Acts as a resource person to Director of Ethics and the Ethics Coordinators.
  • Maintains supporting documentation.
  • Works closely with Alberta Innovates Legal and Contracts team to ensure compliance in contracts and files are up to date.
  • Keeps records of all closed studies and files for the Community Health Committee, Cancer Committee and Clinical Trials Committee.
  • Categorizes files for proper storage and arranges transport of files offsite.
  • Provide administrative support at offsite meetings to the Director of Ethics when required.
  • Repond to inquires and may provide basic interpretation of policies and procedures. Research information to resolve problems or issues.
  • Coordinate the flow of information internally and with other departments and organizations.
  • May manage supervisor and/or department calendar including registration and travel. Arrange travel schedules, flights, hotels and reservations.
  • Organize and coordinate events and conferences which may include creating timelines; collecting agenda items, briefing
  • Arrange facilities, catering, invitations and materials/handouts.
  • Independently respond to and compose correspondence.
  • Compose and prepare confidential meeting correspondence, agendas, action items, reports and minutes.
  • May create and maintain standard spreadsheets and/or databases.

 

Qualifications;

  • 2 year Technical school diploma in Administration
  • Minimum 5 - 7 years Office Administration Experience
  • Intermediate - Advanced Level Microsoft Office Suite skills

This position is included in the bargaining unit. The final candidate will be required to undergo a security clearance.
