We are seeking an Ethics Coordinator to manage the operational activities of a Committee which is a part of the Health Research Ethics Board of Alberta (HREBA). The principal function of the Ethics Coordinator is to ensure that ethics reviews and related processes comply with relevant laws, regulations, ethics guidance and standard operating procedures, to help establish that approved studies are ethical and that participants and their health information are protected. This includes providing direct support to the Committee members in relation to ethics reviews, particularly through Committee meetings, as well as interactions with applicants (Principal Investigators and their research teams) and in coordination with other HREBA staff.


Responsibilities include, but are not limited to:

  • Screens incoming applications for completeness and to determine compliance/non-compliance with requirements (legal, regulatory, ethical requirements and other relevant policies and standard operating procedures) as well as identifying issues that need to be considered by members during their reviews.
  • Manages monthly Committee meetings. This includes determining meeting attendance and reviewer assignments, drafting agendas, creating minutes and/or discussion notes, as well as assisting in the preparation of correspondence regarding Committee decisions.
  • Facilitates post approval review activities, these include amendments, reportable events, renewals and closures.
  • Organizes meetings and/or engagement between Committee members and Principal Investigators and/or their research teams.
  • Addresses inquiries related to Committee processes or the particulars of a research application.
  • Oversees document management for the Committee, which includes the retention of all relevant records related to applications submitted to the Committee, and their ethics review.
  • Works closely with the Committee Chair and/or Vice-Chair(s) to promote efficient ethics review and approval processes, as well as efficient meetings.
  • Ensures operations of the Committee are in compliance with legal, regulatory, and ethical requirements and/or other relevant guidance.
  • Helps to develop and implement Committee guidelines, manuals, policies and procedures.
  • Assists with overseeing expenses related to Committee activities/Committee members.
  • Promotes training and education of Committee members as well as new staff. This may include assisting in the development of training or educational activities (e.g. facilitating workshops, assisting in the development of training materials or materials for presentations)
  • Manages Committee membership – new member recruitment, appointment, training, compensation, resignations and the documentation related to these activities. 
  • Provides guidance with respect to member’s roles and responsibilities.


Education and Experience:

  • Undergraduate degree required in a related discipline plus a minimum of two years’ experience in research administration.
  • Knowledge of the ethics review process is ideal.
  • An in-depth knowledge of the TCPS2, GCP, HIA and other regulatory requirements and guidelines will be considered an asset.

  • Knowledge of the Microsoft Office, particularly Word, Excel, Outlook and PowerPoint.

This position is included in the bargaining unit. The final candidate will be required to undergo a security clearance.
