Ethics Administrator

The successful incumbent will be, but not limited to:
- Manage program documentation including requested edits of the guidelines, manuals, policies, standard operating procedures, minutes and correspondence
- Coordinate monthly Chair/Vice Chair review meetings and other assigned meetings by assisting in ensuring compliance with applicable regulatory and internal requirements such as quorum; organizing meetings; preparing and distributing pre-meeting packages,prepare confidential meeting correspondence, drafting agendas, collating action items, reports and minutes.
- Prepare remuneration memos and member expense claims and process them in a timely manner.
- Acts as a resource and administrative support to the HREBA Staff, Chairs, Vice Chairs and Committee members.
- Work closely with Alberta Innovates applicable internal units to coordinate, support flow of information and ensuring that all involved individuals are kept up to date while also ensuring compliance with internal processes.
- Ensure records of all closed studies and files for the Community Health Committee, Cancer Committee and Clinical Trials Committee is current and processed in a timely manner.
- Categorize files for proper storage and arranges transport of files offsite.
- Monitor general inboxes, respond or triage to the officers as needed.
- Manage supervisor and/or department calendar including registration and travel. Arrange travel schedules, flights, hotels and reservations.
- Organize and coordinate pre-/post- events and conferences which may include creating timelines; collecting agenda items, drafting briefing notes; arranging facilities, catering, invitations and materials/handouts.
- Draft communication messages and update materials such as emails and website
- Provide administrative support including offsite meetings to the Executive Director when required
- May create and maintain standard spreadsheets and/or databases.
Qualifications;
- 2 year Technical school diploma in Administration
- Minimum 5 - 7 years Office Administration Experience
- Intermediate - Advanced Level Microsoft Office Suite skills
