Senior Project Coordinator, Facilities Services

 

 

Alberta Innovates is seeking a Senior Project Coordinator who will be responsible for independently managing small to mid-sized capital projects ranging from $250K to $2M, ensuring successful delivery from initiation through close-out. The individual will also support a Senior Project Manager on larger, more complex initiatives, providing an opportunity to gain valuable experience and broaden their project management capabilities.

 

This is a full-time, permanent role based in our Edmonton Research & Development Park (south side location).  Opportunity to work hybrid is possible, but the successful candidate must be based in Edmonton, AB.

Here’s some more information about the position:

 

Reporting to the Senior Manager, Project Management Office, the Senior Project Coordinator will act as a resource on technical inquiries, assist with the identification and resolution of base building and technical issues, and keep projects on time and budget. The successful incumbent will be responsible for the following:

 

Project Planning and Execution

  • Independently manages small to mid-sized projects or workstreams, ensuring delivery is on time, within scope, and aligned with organizational priorities.
  • Develops project charters that clearly define scope, objectives, and success criteria.
  • Creates and maintains detailed project plans, including timelines, tasks, milestones, resource allocations, and budgets.
  • Develops risk management plans to proactively identify and mitigate potential challenges.
  • Outlines procurement strategies for materials, equipment, and services to support project execution.
  • Prepares and issues requests for proposals (RFPs) or bids, as required.
  • Coordinates with internal teams and external vendors to ensure seamless project execution and communication.
  • Monitors project progress, manages risks or delays, and ensures timely resolution of issues to keep projects on track.

 

 Communication and Documentation

  • Clearly communicates project goals, expectations, and priorities to team members and stakeholders to ensure alignment and shared understanding.
  • Provides regular status updates and communicates progress, risks, and changes to stakeholders in a timely and transparent manner.
  • Prepares progress reports and dashboards to support informed decision-making.
  • Documents and shares lessons learned to support continuous improvement and knowledge transfer.
  • Maintains comprehensive project documentation, including plans, reports, meeting notes, and correspondence, ensuring accuracy and accessibility throughout the project lifecycle.

 

Quality Assurance and Compliance

 

  • Supports the consistent application of project management standards and best practices across all assigned initiatives.
  • Ensures all project activities are conducted in alignment with safety policies, applicable regulatory standards, and organizational procedures.
  • Conducts inspections and quality checks at key project milestones to verify compliance and uphold performance standards.
  • Coordinates the preparation, submission, and tracking of permits and approvals required for infrastructure-related work, ensuring timely and accurate documentation.

 

Support for Senior Project Managers

  • Provides comprehensive coordination and administrative support to senior project managers, enabling them to focus on strategic oversight and high-level decision-making.
  • Tracks and updates project action items, tasks, and deliverables to ensure timelines and milestones are met.
  • Proactively follows up on outstanding items with internal teams and external partners to maintain project momentum and accountability.
  • Assists with resource tracking, change requests, risk logs, and procurement documentation as needed to support project execution.
  • Serves as a reliable point of contact for day-to-day project coordination, helping maintain alignment and communication across cross-functional teams.

 

Qualifications:

 

  • Bachelor’s degree in a relevant field, such as Engineering, Construction Management, Project Management, or a related discipline
    • A commensurate amount of work experience and educational credentials (e.g. Diploma) will be considered for the role.
  • 3–5 years of experience supporting capital or maintenance renewal projects, ideally within a government or public-sector setting
  • Basic understanding of the project delivery lifecycle, including scope development, scheduling, budgeting, and support for design and construction phases
  • Familiarity with government processes, policies, and regulatory frameworks is considered an asset
  • Exposure to R&D or technical facility environments, with a demonstrated interest in infrastructure planning and operations
  • Foundational knowledge of contract administration and procurement practices
  • Awareness of contract law and public-sector procurement methodologies
  • Proven problem-solving skills and a collaborative, team-oriented approach
  • Experience or interest in managing project budgets and supporting team coordination

 

Preference will be given to the following:

 

  • Over 5 years of experience in project management, coordination, or support roles, with a proven ability to assist in planning, scheduling, documentation, and reporting—particularly within a research and development (R&D) environment
  • Hands-on experience with AutoCAD, supporting design and technical documentation
  • Strong understanding of project management principles, methodologies, and best practices
  • Collaborative team player, skilled at working with cross-functional teams and maintaining positive working relationships
  • Adaptable and responsive, with the ability to adjust to shifting project requirements and priorities
