Senior Records Analyst

 

Alberta Innovates (AI) is seeking a Senior Records Analyst for our Information Management team to provide record management expertise, advisory and consulting services to all system users and is responsible for the evaluation and management of the records databases and systems.

Reporting to the Manager, Information Management, the Sr. Record Analyst is responsible for maintaining all corporate records and ensures that all record transfers, retention, and disposition is managed in accordance with the schedule.

 

The successful incumbent will be accountable for (but not limited to) the following: 

 

Audit and Compliance

  • Conducts assessment of department records management process for compliance with policies and procedures.
  • Completes periodic reviews/audits of information created and stored within the database to ensure user compliance.
  • Prepares documentation to update operating and/or end user procedures.
  • Maintains and distributes records management procedures and Organizational Records Structure (ORS).

 

Offsite Storage and Disposition of Records

  • Checks, coordinates, and processes all records transfers to site warehouses, Alberta Records Centre, Provincial Archives of Albera (PAA) in accordance with Records Management Regulation and Alberta Innovates policies and procedures.
  • Monitors IRIS for notification to process approved transmittals that have met final disposition for permanent storage or destruction.
  • Updates records management database with tracking information for future records retrieval.
  • Maintains and modifies transmittals and inventories on all holdings in offsite repositories or for records that have been destroyed.
  • Monitors semi-active records to ensure disposition occurs as scheduled.

 

Records System Administration

  • Customizes, implements, and manages the Records Management System.
  • Controls functions and amendments to systems.
  • Tests new product releases, upgrades, and fixes to resolve software issues.

 

Records System Support

  • Provides system expertise, guidance, and training to new and existing users.
  • Provides support and advice on planning and development of Corporate Record Keeping Standards.
  • Supports Vital Records Program to identify and protect essential records.
  • Generates system reports to assist users in carrying out maintenance and closure of records.

 

Educational Requirement:

  • Post-secondary Diploma in Records and Information Management or related field and Records Management Certification.

 

Experience and Qualifications we are looking for:

  • 5 - 7 years progressive records management and records management systems experience.
  • Working knowledge of Government of Alberta processes.
  • Intermediate level computer skills/MS Office applications.

Full Time Annual Salary: $65,608 - $82,071
